Establish tenant ownership and approval paths
Begin by identifying the business tenant, domain ownership, subscription administrator and authorized decision makers. Your organization should retain ownership of its tenant and access to recovery information. Administrative roles should be limited to the task rather than granted broadly for convenience. Record who approves new users, mailbox access, license changes and external sharing. This foundation makes everyday support safer and reduces confusion when a person leaves the company or a vendor relationship changes.
Troubleshoot Outlook and Exchange in context
A mail problem may involve a desktop application, account settings, a mailbox limit, a service condition or business domain records. Gather the affected users, error message, time of failure and whether web access behaves differently. Avoid sending passwords or message contents through a general enquiry. Changes to mail routing or domain records require approval and a rollback plan because they can affect the entire company. Vendor service outages and third-party delivery decisions remain outside a support provider’s direct control.
Give Teams, SharePoint and OneDrive clear roles
Collaboration becomes difficult when file ownership, team membership and sharing rules are inconsistent. Review where a department should store shared work, who manages membership and how external collaborators are approved. OneDrive for Business and SharePoint have different ownership and access considerations; moving files without understanding those differences can interrupt workflows. Support can address configuration and troubleshooting within the agreed scope, while business owners remain responsible for deciding which colleagues and external recipients should see particular information.
Plan user changes and security settings
Create a repeatable path for new users, role changes and departures. Consider license assignment, group membership, multifactor authentication, mailbox delegation and retention requirements together. An offboarding request should identify the authorized approver and any information that needs preservation before access is removed. Some controls depend on the subscription plan. A feature described in product documentation may not be available in your tenant, and licensing changes should be confirmed before implementation rather than treated as included.
Prepare carefully for larger changes
Tenant reorganizations, migrations and broad security changes need a separate assessment of dependencies, data volume, applications and business timing. A simple support request should not quietly become a migration project. Define a test group, user communication and acceptance criteria before a rollout. Cloud availability is not the same as an independent backup strategy, so discuss recovery needs separately.
